What we collect

When you use a form on this website (contact, registration, enrolment, or a Community Support & Advocacy request), we may collect:

• Your name, phone number, email address and postcode
• Details you choose to share about your enquiry, request, or the support you're asking for
• For programme registrations: child/student details, emergency contact details, and preferences you provide

For Community Support & Advocacy requests specifically, we ask you not to send sensitive documents (such as NHS numbers or immigration papers) through the website form. If we need those, we'll request them separately through a controlled method.

Why we collect it

We use this information to:

• Respond to your enquiry or request
• Deliver the programme, class or support service you've asked about
• Keep a record of the support we've provided, so we can follow up appropriately
• Meet our safeguarding responsibilities where relevant

Our lawful basis is your consent (given when you submit a form) and, where applicable, our legitimate interest in running our community programmes and support services responsibly.

Who sees your information

Form submissions are handled by a small number of KIC staff and volunteers involved in the relevant programme or service. Community Support & Advocacy requests are intended to be limited to the team members handling advocacy cases. We do not sell or share your information with third parties for marketing purposes.

We use a third-party form service (Web3Forms) to deliver form submissions to us by email. We do not display individual case or enquiry details in analytics or any public dashboard.

How long we keep it

We keep information for as long as it's needed to provide the service you've requested and to meet any legal, safeguarding, or record-keeping obligations, after which it is deleted or anonymised.

Your rights

Under UK data protection law, you have the right to ask what personal information we hold about you, to ask us to correct or delete it, and to withdraw consent at any time. Submitting a form does not mean we have accepted your case, and you can withdraw a request at any point by contacting us.

If you're not satisfied with how we've handled your information, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
